2.1 Information You Provide Voluntarily

  • Account Information: Username, password, subscription details.

  • Order & Billing Data: Shipping addresses, purchase history, chosen subscriptions.

  • Payment Information: We do not store complete credit/debit card details ourselves; payments are securely processed via third-party (e.g., Shopify, Stripe).

  • Communications: Emails, phone conversations, or messages you send us.

2.2 GPS & Audio Data

  • GPS Tracking: Our Devices and TrackMaster Pro capture and store vehicle location data (coordinates, timestamps).

  • Audio Recordings: If your Device supports in-cabin audio capture (e.g., “NoiseNinja”), those files are stored on our servers when activated.

2.3 Usage & Technical Data

  • Cookies: We use cookies or similar technologies on our site to maintain sessions (e.g., cart info, B2B vs. retail preferences).

  • Log & Analytics: IP addresses, browser types, device IDs, or crash logs for performance troubleshooting.

 


 

3. How We Use Your Data

We generally process personal data under the following bases:

  1. Contractual Necessity

    • To fulfil orders, manage subscriptions, and deliver real-time tracking services.

    • To provide customer support or process returns/warranties.

4.1 GPS & Audio

  • GPS Data: Retained up to 2 years on TrackMaster Pro while your subscription is active.

  • Audio Data: Retained up to 3 months if you enable in-cabin audio.

  • If your subscription lapses or is cancelled, we may delete all GPS/audio data 30 days afterward.

4.2 Account & Order Details

  • We may keep basic account/order info (e.g., name, email, transaction records) for up to 6 years to meet business or legal requirements (e.g., tax or dispute resolution).

  • We reserve the right to remove personal data sooner if your account remains inactive and there are no outstanding legal obligations.

4.3 Downloaded Audio Ownership

  • Once you download any audio files, you become the data controller for that copy. Your subsequent handling of the file is beyond our control.

 


 

5. Third-Party Services & Sharing

5.1 E-Commerce & Payments

  • Shopify: Hosts our online store and handles essential checkout functions, including order creation.

  • Stripe / Shopify Payments: Process card payments. We do not retain your full card number.

5.2 Hosting & Maintenance

  • AWS (in the UK): Our TrackMaster Pro platform and databases are hosted on secure servers located in the United Kingdom.

  • Software Partners: We may grant limited admin access for website or platform troubleshooting or updates. They do not copy or export personal data.

5.3 Email Communications

  • Twilio (or similar): We use this for sending transactional emails (e.g., subscription confirmations, password resets).

5.4 Legal Disclosures

  • We may share personal data if required by law or to enforce legal rights, detect fraud, or comply with court orders.

5.5 No Direct Data Selling

  • We do not sell or rent personal data to third parties for marketing.

 


 

6. Audio-Recording Responsibilities

Devices with in-cabin audio (e.g., “Smart Recording”) capture sound only if you enable the feature. By using it:

  1. Compliance: You are solely responsible for following all relevant privacy or employment laws, including occupant consent if required.

  2. Storage: Audio files remain on our servers for up to 3 months under an active subscription.

  3. Download Liability: If you export the files, you become responsible for their lawful handling.

  4. Disclaimer: We disclaim liability for any misuse of the audio-recording function (e.g., failing to notify occupants).

 


 

7. Cookies & Tracking

7.1 Why We Use Cookies

  • Essential cookies maintain shopping cart sessions and track user preferences (e.g., retail vs. B2B customer selection).

  • Analytics cookies (if any) help us understand site traffic or detect errors. You can refuse non-essential cookies via browser settings.

7.2 Managing Preferences

  • You may block or delete cookies in your browser. Doing so may affect certain site functionalities (e.g., remembering your customer type preference).
